Privacy policy
This page explains what worldcongress.net collects, why, and how to make us delete it. It is written to be read rather than to satisfy a lawyer, but it is accurate.
Who is responsible
worldcongress.net is the data controller for everything described here. To reach us about any of it, use the contact form — it goes straight to the people who run the site.
What we collect, and why
When you use a form
The contact form and the conference submission form collect what you type into them, including your name and email address. We use them to reply to you and, for submissions, to verify and publish a listing. Form submissions are stored in this site’s database as well as emailed to us, so nothing is lost if mail fails.
Legal basis: your consent, and our legitimate interest in answering people who contact us. Kept for: two years, then deleted.
When you subscribe to the newsletter
Your email address, the disciplines you choose, and the date you subscribed. Used only to send the deadline emails you asked for. Every email carries a one-click unsubscribe, and unsubscribing deletes the record rather than suppressing it.
Legal basis: consent. Kept for: until you unsubscribe.
When you simply read the site
Our host records standard server logs — IP address, browser, page requested, timestamp — which are used for security and for diagnosing faults. The security plugin logs failed login attempts and blocked requests for the same reason.
Legal basis: legitimate interest in keeping the site up and unbroken. Kept for: up to 30 days for logs, longer for blocked-request records.
Analytics
We use Google Analytics via Google Site Kit to understand which pages are useful. It sets cookies and shares data with Google. If you would rather it did not, decline analytics in the cookie notice, or use any standard blocker — the site works identically either way.

We set no advertising cookies and run no ad network.
Who else processes your data
- Our hosting provider — stores the site and its database.
- MailPoet — newsletter subscriptions and sending.
- Google — Analytics and Search Console, via Site Kit.
- Wordfence and Akismet — security and spam filtering, which involves checking submissions against their services.
We do not sell data, and we do not share it with conference organisers or software vendors. Submitting a listing does not put you on a marketing list.
Your rights
Under the GDPR you can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, object to processing, or withdraw consent at any time. Ask through the contact form and we will act within 30 days. You also have the right to complain to your national data protection authority.
Changes
If this policy changes materially we will say so on this page and date the change.
